Features

Ordiflor is built first for a wholesaler that imports flowers and plants from Holland and sells to businesses. Stock is kept separately for each delivery, so you know what stands in the cold store and on the yard, what it cost and who it came from.

Product list and stock

Under each product its deliveries, each in its own place.

  • A product list where each row is a delivery: date, supplier, location and quantity.
  • Deliveries from the oldest, cut flowers by sell-by date.
  • Product types: plant, cut flower, trade goods, service, returnable packaging. Trade and botanical name, pot size (P9, C3), height, several EAN codes.
  • Cut flower colours from the company’s colour list, with a colour family for filtering and an optional RHS® code.
  • Locations in a tree: branch, glasshouse, tunnel, yard, cold store, row. Transfers between them.
  • Losses with a reason (frost, disease, damage, natural wastage) and a photo, valued at delivery cost. Natural wastage of cut flowers is recorded in bulk.
  • Physical stocktaking with locations locked while counting and a list of differences.
  • Stock never goes below zero. Every adjustment has a reason.
  • Reports on stock and stock value on a chosen date and a loss report, with CSV export.

Receiving and delivery import

Every delivery remembers its cost, origin and packaging.

  • Receiving by hand or from a file, always with a preview before saving. The same file cannot be loaded twice.
  • Core: Excel® import in the Ordiflor template. Pro: any supplier file, with the column layout remembered for each supplier.
  • Coming soon in Pro: EDI from Dutch exporters. You will upload files without limit, and the program will collect them from e-mail from 5 senders included in the plan.
  • Purchases in euro and other currencies: the NBP rate as a suggestion you can adjust. Freight and other additional costs spread across the units.
  • Delivery “in transit”: you receive what has arrived, and the missing lines wait as a new delivery in transit.
  • Packaging on up to three levels: tray, shelf, CC trolley, or bunch, bucket, box.
  • With each delivery the grower and the plant passport number, with suggestions from earlier deliveries.
  • Opening stock at the start is loaded from Excel with the same import.
  • You recognise a delivery by its date and supplier. No need to invent batch numbers.

Purchase invoices from KSeF

The supplier’s invoice becomes a goods receipt without retyping.

  • Purchase invoices downloaded from KSeF go to a preview with their lines and prices.
  • The program matches lines by supplier code, EAN code and earlier choices. It remembers a new match only after you approve it.
  • The invoice creates a goods receipt “in transit”. The office approves prices, the warehouse approves quantities.
  • One invoice can cover several goods receipts, and one goods receipt several invoices from the same supplier. You assign a freight invoice to deliveries as a cost.
  • The same invoice cannot be loaded twice.

Customers and prices

Company data from registers, prices set for each customer.

  • Company data from GUS once you enter the tax ID (NIP). You check the VAT status on the VAT white list with one button.
  • You check the VAT number of a customer in another EU country in VIES. The result is saved with the customer.
  • One customer per tax ID, with several recipients and delivery addresses.
  • Price groups with a discount, a fixed customer discount and individual prices. Customer prices can be changed only by the Manager and the Admin.
  • Prices of the day: you change the prices of many products at once, with a preview before saving. A simple markup calculates the price from the delivery cost.
  • Sales on payment terms for customers you allow, and a list of overdue receivables.

Orders, picking and WZ

Ordered goods immediately reduce the stock available to others.

  • An order in the office with a specific delivery chosen for each line.
  • Prices from the customer’s price list. When you change the buyer, the prices are recalculated automatically.
  • You cannot sell more than you have in stock.
  • The warehouse worker picks on a mobile scanner or phone: “To pick” and “To dispatch” tabs, without amounts.
  • On dispatch the program gives the goods-issue note (WZ) a number and creates a PDF. You dispatch part of the goods now, and the rest waits in the open order.
  • Merging orders of one customer and moving lines between orders.
  • A list of goods dispatched but not yet invoiced.

Till and payments

The till settles invoices and orders of trade customers.

  • A basket at the till is an order from the start. It is closed by a VAT invoice or a goods-issue note (WZ).
  • Payment in cash, by card once the terminal accepts it, or partly with each. The office records bank transfers against the invoice.
  • Cash paid into and out of the till as cash receipts and payouts (KP/KW).
  • You count the cash when the day opens and closes. Each till station ends the day with a report.
  • Returns: goods go back into stock or you record them as a loss, and you refund money up to the amount paid.
  • The till runs on a computer with a touch screen, on a tablet and on a phone, with a barcode scanner.
  • Retail sales with receipts and fiscalisation are in preparation.

VAT invoices and KSeF

Every sale to a business ends with a VAT invoice in KSeF.

  • VAT invoice and a correction invoice to a specific invoice.
  • Sending to KSeF in the background and the status next to every invoice. The till and the office do not wait for the KSeF number.
  • A PDF with the KSeF number and a QR code, e-mailed once the number is assigned, with a queue and retries.
  • Your company logo and footer on invoices and documents.
  • VAT rates by line type, e.g. 8% for plants and 23% for goods. GTU markings on invoices.
  • Sales to businesses in other EU countries (intra-Community supply, WDT) with the VAT number checked in VIES.
  • Monthly CSV files for the accounting office: invoices, lines and markings for JPK.

Scanners and phones

Picking and selling next to the goods, not only at the desk.

  • A mobile scanner with Android™ and a built-in scanner, usually the Zebra® TC22. You buy it yourself, as we recommend.
  • We configure the scanner to work with Ordiflor. Remote management (MDM) is coming soon.
  • On a mobile scanner or phone you pick orders and sell at the till.
  • At a workstation a USB or Bluetooth® scanner is enough. It works like a keyboard and has no fee.
  • The mobile scanner works online, over Wi-Fi™ on the yard and in the cold store. Working without signal is in preparation.

Plant passports

The grower and passport number are recorded with the delivery and carried over to the sale.

  • “Grower” and “passport number” fields in every delivery, with suggestions from earlier deliveries.
  • The origin is carried over to the sales line, so you know what went to which customer.
  • Coming soon: a “from whom, to whom” report in case of a PIORiN inspection, in every plan, the full passport with fields A–D and printing on labels.

Users and permissions

Everyone works on their own account and sees only what they need.

  • Roles and permission profiles, e.g. Company admin, Manager, Warehouse, Office.
  • Purchase costs are visible only to users with the “sees costs” permission.
  • Named accounts. Disabled accounts do not count towards the plan limit.
  • Sign-out after inactivity and “sign out everywhere”.
  • Password re-entry for important changes.

Activity log

You can see who changed the stock, when and why.

  • Every stock change is a record that cannot be edited: who, when, why and how much was left afterwards.
  • Company event log: sign-ins, settings changes, imports.
  • Service work in your company appears in the log together with its reason.
