Data security

Prices, customers, deliveries and invoices are the data your business depends on. Here we explain in plain words where they are, who sees them and what the program records.

Where your data is

  • The program and the data are stored on servers in the European Union.
  • Each company has a separate database. Your company’s data is not kept together with other companies’ data.

Backups

  • Backups are encrypted.
  • We store them with a second provider, also in the European Union. If one data centre stopped working, the data could be restored from the backup.

Who sees your data

  • You and your employees, each on their own personal account.
  • The company admin assigns roles, e.g. Manager, Warehouse, Office. Everyone sees only what their role allows.
  • Purchase costs are visible only to users with the “sees costs” permission.
  • Our support staff sign in to a separate panel, with a password and a code from a phone app. Everything they do in your company goes into your activity log together with the reason.

Signing in

  • A password has at least 8 characters. The program does not accept a password that is too simple or too common.
  • After several failed sign-in attempts, further attempts are slowed down.
  • After an hour of inactivity the program signs you out. The admin can sign an employee out on all devices.
  • For important changes, e.g. to permissions or company details, the program asks for the password again.
  • Employees of our customers sign in with a password. The second step, a code from a phone app, is required when our support staff sign in.

Activity log

The program records who, and when:

  • signed in, signed out or changed their password, as well as every failed sign-in attempt,
  • added an employee, switched off their account or changed their permissions,
  • changed the company’s details or settings,
  • changed a product price, a customer price or a price group,
  • received or cancelled a delivery and changed its cost,
  • loaded a delivery file or opening stock,
  • corrected stock, moved goods, recorded a loss or approved a stocktake,
  • approved a purchase invoice from KSeF,
  • added, changed or merged a customer.

Stock changes cannot be edited. Every correction is a new entry with a reason.
